Add a Patron

Use the following procedure to add a patron profile:

1.  From the Patron menu, select Add Patron.

2.  Enter an ID number for the new patron and click Save. The Patron successfully added message is displayed.

Alternatively, click Generate ID to automatically add the next available ID number. Click Save. The Patron successfully added message is displayed.

Notes: If a user attempts to add a patron using an ID that is already in Odyssey PCS, a prompt will appear with the message, “This ID number already belongs to a PCS patron: [Patron Name]. Do you want to add this patron to HMS?” Verify that the PCS patron’s name matches the name of the patron being added. Clicking Yes will add the Odyssey PCS patron to HMS. If the name does not match, do not add the patron using the entered ID number. Clicking No will cancel the operation.

An institution’s ID number length is configured in Odyssey HMS via Tools > Institution Settings > Patrons > ID Number Length.

3.  The patron’s profile will be displayed. Next to the patron’s profile photo, click View More Information.

4.  Click Edit, and continue adding patron general information for the following fields:

     First name: Patron’s first name

     Middle name: Patron’s middle name

     Last name: Patron’s last name

     Gender: Patron’s gender

     Birth date: Patron’s birth date, in MM/DD/YYYY format

     Alternate ID: Patron’s alternate ID number

     Nickname: Patron’s nickname

     Cell phone: Patron’s cell phone number

Note: The Cell Phone field is linked to the value of the patron attribute TM Cell Phone #, as of the current date.

     Mailbox: Patron’s mailbox number

     Email: Patron’s email address

     Web URL: Patron’s web site address

Note: For information about Family Affiliation, refer to the Patron Family Affiliation section.

5.  The Last ___ Activity field displays the date and time of the patron’s last activity in CS Gold. This is a read-only field. Refer to the Edit a Patron section for more information.

6.  If necessary, edit the Active terms. Select the terms in which the patron is active in the Active terms window.

7.  If necessary, select the Suspend All Processing checkbox to put the patron’s account on hold. For more information about this option, refer to the Suspend All Processing for a Patron section.

8.  Click Save. The Patron successfully updated message is displayed.

9.  If necessary, add a patron photo and configure the patron’s Attributes, Attachments, Addresses, and Notes.
